Employee working with notary to get their 1-9 verification.

As a notary assisting with Form I-9 verifications, I often get asked, "What do I need to bring for my I-9 verification?" To make the process smooth and hassle-free, here’s everything you need to prepare before we begin.

1. The Form I-9

You will need to bring a printed copy of Form I-9, Employment Eligibility Verification, provided by your employer. This form is used to verify your identity and employment authorization in the United States.

2. Your Employer’s Instructions

Your employer may have specific instructions on how they want Section 2 of the Form I-9 completed. Ensure you bring any guidance or employer contact details in case we need clarification.

3. Acceptable Identification Documents

You must bring original, unexpired documents from the List of Acceptable Documents provided on the last page of Form I-9. These include:

  • Option 1: One document from List A, such as:

    • U.S. Passport or Passport Card

    • Permanent Resident Card (Green Card)

    • Employment Authorization Document (EAD)

OR

  • Option 2: One document from List B and one from List C:

    • List B (Identity Verification): Driver’s license, state ID card, or school ID with a photograph.

    • List C (Employment Authorization): Social Security card (not marked "Not Valid for Employment"), birth certificate, or a certificate of U.S. citizenship.

4. Physical Presence for Verification

Form I-9 verification must be completed in person. You must be physically present so I can review and confirm the authenticity of your documents.

5. Employer's Representative Authorization

If your employer is using a notary as an authorized representative, confirm that they allow notaries to complete Form I-9 on their behalf. Some companies require their own HR or specific personnel to handle verification.

6. Your Section 1 Must Be Completed

Before our meeting, ensure that Section 1 of Form I-9 is fully completed and signed by you. This section includes your personal information and attestation of employment authorization.

7. No Photocopies Allowed

Only original documents are acceptable for verification. Photocopies, digital scans, or laminated Social Security cards (if restricted) will not be accepted.

8. Processing Time

The I-9 verification process typically takes only a few minutes, but please allow extra time in case additional clarification is needed. Once completed, I will sign and return the form to you or your employer as instructed.
